Obtaining Duplicate Hard-Copy Medicare Remittance Notices (MRNs)

Providers frequently ask WPS Medicare to send duplicate hard copies of MRNs, also known as Medicare Remittance Advices (MRAs) notices. In accordance with the Centers for Medicare & Medicaid Services (CMS) Internet-Only Manual (IOM), Publication 100-9, Chapter 6Adobe Portable Document Format, Section 50, providers should obtain duplicate remittance notice information using provider self-service technology when available.

There are several things to keep in mind when requesting duplicate MRNs.

  1. If you are an Electronic Remittance Advice (ERA) receiver, you should not be requesting duplicate hard-copy remittance notices. Instead, you should receive the remittance notice information from your ERA file. If you experience problems locating the ERA file, our Electronic Data Interchange (EDI) department can provide assistance.   2. WPS Medicare offers all providers the ability to download MRNs using the CMS Secure Net Access Portal (C-SNAP). To take advantage of this feature, you simply need to register as a C-SNAP user. It is also important to note that C-SNAP offers numerous other functions such as patient eligibility, claim status, deductible information, and much more.   3. Another provider-self service tool that you should use to obtain remittance notice information for a specific claim is the Interactive Voice Response (IVR). The IVR also offers many other features including patient eligibility, claim status, deductible information, and much more.     Please note duplicate remittance notice information for claims cannot be obtained through the IVR for deleted claims, voided claims, unprocessable claim rejections, or adjusted claims.

  4. The CMS also developed software called Medicare Remit Easy Print (MREP) that enables you to view and print Health Insurance Portability and Accountability Act of 1996 (HIPAA)-compliant 835s from your own computer. Remittance notices printed from the MREP software are similar to the current Standard Paper Remittance Advice (SPR) format.   5. If the remittance notice information you are seeking is not available through the means mentioned above, you can send a written request to our office. Address information is available on the following WPS Medicare website: http://www.wpsmedicare.com/j5macpartb/departments/customer_service/

    It is also important to keep in mind that WPS Medicare can only send duplicate remittance notices to the address we have on file for you. In addition, in accordance with the CMS Change Request (CR) 6139Adobe Portable Document Format, you must include the following three elements on your request, unless your request is on official letterhead. If the request is on official letter (matching the information on your provider profile, the request only has to include one of the elements below:

    • National Provider Identifier (NPI)
    • Provider Transaction Access Number (PTAN)
    • Last 5-digits of the Tax Identification Number (TIN)

    Please make sure written requests include the MRN number and/or the check number and the date of issue. Without this information, WPS Medicare may not be able to provide you with the MRN.
